Special Terms and Conditions of Sale

These STCS are intended to define the rights and obligations of the parties in the context of renting accommodations at our campsite.

By booking a pitch and/or accommodation at our campsite, you acknowledge having read and accepted these STCS.

1/ Services - Prices

➢ Rental AccommodationOur prices include the rental of the accommodation based on the number of people (according to the capacity of the accommodation), water, gas, and electricity charges (excluding battery charging for electric or hybrid vehicles), parking for one vehicle, access to reception facilities, entertainment, and sanitary facilities. A security deposit of €300 for rentals will be requested upon your arrival, which will be refunded at the end of your stay and no later than one week after your departure by mail.

However, we reserve the right to retain part or all of it in case of damage to the accommodation and/or its contents and/or equipment on the campsite.

We also reserve the right to deduct €80 for cleaning fees if it has not been carried out upon departure.

➢ Common ProvisionsThe prices indicated are in € VAT included and do not include the tourist tax.Regardless of the chosen package, additional fees will be charged for extra vehicles, pets, visitors, etc.

Our prices are subject to change depending on economic and commercial conditions. The contractual price due by you is the one stated on your booking confirmation.

Flower Campings applies dynamic pricing. As a result, prices may fluctuate up or down.Partner benefits and promotions cannot be applied to a booking that has already been confirmed, whether it has been paid in full or in part; they are in no way retroactive.

Thus, for the same stay, clients may have paid different prices. Clients who have paid a higher price cannot claim a refund of the difference between the price they paid and the promotional price.

2/ Booking Conditions

Bookings are only binding for our campsite if they have been accepted by us, which we are free to do or refuse, depending on availability and, generally, any circumstances likely to hinder the execution of the booking.

Our campsite offers family-oriented stays in the traditional sense, and accommodations are specifically designed for this purpose. We reserve the right to refuse any booking that is contrary to this principle or attempts to circumvent it.

The booking of a camping pitch or rental is strictly personal. You may not sublet or transfer your reservation without prior consent from our team.

➢ Booking TermsYou can make a booking on our website and on www.flowercampings.com or by phone.

Any booking request must be accompanied by:

A deposit payment of 30% of the total stay cost, including VAT for the reserved services, and if applicable, the tourist tax.

Payment of the cancellation insurance fee, if subscribed.

The booking only becomes contractually valid upon receipt of a written confirmation of the booking via email, summarizing all information regarding your stay.

The balance of the stay price, including VAT for the reserved services and, if applicable, the tourist tax, must be paid no later than 30 days before the start of the stay. If the balance is not paid within this period, the stay is considered canceled, and our cancellation conditions apply.

Any booking made less than 30 days before the arrival date must be paid in full at the time of booking unless otherwise specified.

➢ OptionsOur campsite accepts option requests made 40 days before the arrival date. However, options are not accepted in July and August for stays during these periods. Options are valid for 7 days. After this period, the option expires, and the stay is made available for booking again.

➢ QuotesQuotes have a limited validity period, which will be specified in the quote sent by the campsite. After the validity date, we cannot guarantee availability or the previously indicated rates. Additional services such as cancellation insurance will always be offered in the quote. If declined, please notify the campsite in writing.

➢ Booking FeesOur campsite does not charge booking fees.

➢ No Right of WithdrawalAccording to Article L. 221-28 12° of the Consumer Code, the right of withdrawal does not apply to accommodation, transport, catering, and leisure services to be provided on a specific date or period.

➢ Maximum CapacityFor safety and insurance reasons, the number of occupants cannot exceed the capacity specified for the type of accommodation or pitch reserved (1 to 6 people maximum, depending on the accommodation or pitch capacity), including infants. If we observe upon your arrival that the maximum capacity is exceeded, we reserve the right to refuse access to the accommodation or pitch without refund.

➢ Clients - MinorsFor safety reasons, minors not accompanied by their parents, grandparents, or legal guardian for the entire duration of their stay are not accepted in our campsite unless prior authorization is granted via email upon request.

3/ Payment Terms

➢ Accepted Payment MethodsYou can pay for your reservation or stay in euros via the following payment methods:

Bank transfer, check, vacation vouchers, e-vacation vouchers, and credit card. Payment by check is not accepted at reception. Cash payments are accepted at reception.

However, for reservations made less than 30 days before the stay, payment must be made by credit card or e-vacation vouchers only. In the case of payment by vacation vouchers 30 days before the stay, the campsite reserves the right to take a credit card imprint, which will be refunded upon presentation of the vacation vouchers.

➢ Walk-in ClientsFor stays without reservations, you must complete a contract and pay for the intended nights upon arrival. You must also inform reception of your desired stay duration or extension. The balance must be paid no later than the day before departure, considering reception opening hours. No refunds will be issued for early departure.

4/ Stay

➢ Key HandoverArrivals: after 4:00 PMDepartures: before 10:00 AM

Your preferences for a specific pitch can only be accommodated based on availability at your arrival.

Any dissatisfaction regarding cleanliness and/or the general condition of the accommodation must be reported in writing within 24 hours of arrival to allow for corrective action.

Your accommodation must be returned in its original state upon departure; cleaning must be done by you. Otherwise, the campsite reserves the right to deduct cleaning fees from your deposit.

Dishes and waste disposal are not included in the end-of-stay cleaning service and remain your responsibility.

➢ Late ArrivalReception hours are available on our website or upon request (phone, email). Any late arrival should be notified at the latest by the day before arrival. If you wish to arrive in the morning, the previous night must be booked. Any delay in arrival should be reported to retain the booking.

➢ Delayed Arrival and Early DepartureIf you arrive later or leave earlier than the dates stated in your booking confirmation, the total stay remains due, and no refund will be issued for the unused portion.

➢ PetsDogs and cats, except category 1 and 2 dogs as defined by law, are allowed in our campsite. They must be leashed, and vaccination proof is required. Other animals are strictly prohibited.
➢ Rules and Regulations
Throughout your stay, you must comply with the campsite's internal regulations, a copy of which is displayed at reception. We are available to send you a copy by email upon request.

➢ Image Rights
During your stay, we may take photographs and/or record videos within the campsite for animation and/or communication purposes, on all media, in which you and your accompanying persons may appear. By completing your booking, you are presumed to authorize us to use these photos and/or videos for a period of 15 years for the aforementioned purposes. You also guarantee this authorization on behalf of the people accompanying you. Any specific refusal must be notified to us in writing on a durable medium.

➢ Unavailability of Certain Services
The services and facilities we offer (swimming pool, restaurant, activities, entertainment, etc.) may not be available all year round, particularly due to weather conditions or force majeure, or may not operate in all seasons. They may therefore be temporarily unavailable during all or part of your stay. The campsite will make its best efforts to inform you of any work or arrangements undertaken during your stay.

➢ Termination of the Booking Contract Due to Your Fault
The booking contract will be automatically terminated if any of the following events occur:

In the event of repeated non-compliance (i.e., a breach noted again after a formal notice to comply has been sent by email) by you and/or your accompanying persons with our internal regulations.
In this case, you must vacate your accommodation or pitch within 3 hours of the termination of your contract, which will be notified by email. No refund will be issued.
If you fail to check in at the campsite within 12 hours of the start of your stay without providing justification and/or notifying us of your arrival.
We will reclaim your accommodation after the aforementioned 12-hour period if we have been unable to reach you at the contact details provided during your reservation.
In this case, all amounts paid to us will be retained; no refund will be made.
5. Modifying Your Stay
You may request to modify the dates and/or accommodation type of your stay, provided that your request is sent by email at least 21 days before your initial arrival date.

However, you must book a new stay within the same season as your original stay, subject to availability and current rates. Your initial stay can only be modified once. If you are unable to attend the rescheduled stay, it will be considered canceled, and the amounts paid will not be refunded.

If the price of the rescheduled stay is higher than that of the initial stay, you must pay the difference no later than 30 days before the new arrival date. If not, the rescheduled stay will be considered canceled, and our cancellation conditions will apply.
If the price of the rescheduled stay is lower than the original stay, we will retain the price difference as compensation for the change.
6. Cancellation Policy
➢ Cancellation by You
All cancellations must be notified to us in writing on a durable medium (email, registered letter with acknowledgment of receipt, etc.).

If your cancellation request is submitted more than 30 days before your arrival, the deposit paid, the booking fees, and, if applicable, the cancellation insurance fees remain with the campsite.
If your cancellation request is made between the 30th and 15th day before your arrival, the deposit and booking fees remain with the campsite; the balance will be issued as a credit for a future stay within the same season or the following season.
If you booked less than 30 days before your arrival and cancel 15 days or more before your arrival, the deposit, booking fees, and cancellation insurance fees will be retained by the campsite, while the remaining amount will be issued as a credit for a future stay within the same or following season.
If your cancellation request is submitted less than 15 days before arrival, the entire amount paid will be retained by the campsite.
To obtain possible compensation, we recommend purchasing travel cancellation or interruption insurance when booking.

By exception:

If your cancellation is due to a government-mandated lockdown preventing residents in your area from traveling due to COVID-19 at the start of your stay, the deposit paid, booking fees, and cancellation insurance fees will be retained by the campsite, and the remaining amount will be issued as a credit for a future stay within the same or following season, even if the cancellation request is made less than 15 days before the stay.
If your cancellation results from a force majeure event as defined by law (i.e., an unforeseeable, irresistible, and external event beyond your control), all amounts paid will be refunded.
➢ Cancellation by the Campsite
If we are forced to cancel a confirmed reservation, we will notify you as soon as possible via email. Any amounts paid will be fully refunded via bank transfer within 30 days of the cancellation notification, upon receipt of your bank details.

7. Complaints & Disputes
Any complaints related to your stay must be submitted in writing via registered letter with acknowledgment of receipt within 20 days after the end of your stay.

In the event of a dispute and if no amicable solution is found within one month of receiving the complaint, you may refer the matter to a consumer mediator, free of charge, provided the request is made within one year of submitting your complaint letter.

8. Personal Data
During the reservation process or your stay, some of your personal data may be collected and processed.

When booking through our website or www.flowercampings.com, data processing is subject to the privacy policy and general terms and conditions, which you must accept before confirming your reservation.

If booking by phone or during your stay, the following data may be collected:

Full name of the booking person
Phone number used for the reservation
Email address of the booking person
Date of birth of the booking person and their accompanying persons
This data is collected and processed based on:

Your consent
The necessity of executing the booking contract
Only we, Flower Exploitation Campings (SAS with a capital of €10,000, registered with RCS Toulouse under number 512 445 883), and Flower (SAS with a capital of €92,500, registered with RCS Toulouse under number 492 355 508) have access to the collected data.

Collected data is used for:

Executing the booking contract
Managing complaints
Maintaining customer records
Conducting commercial prospecting
Managing accounting
Personal data is retained for the duration necessary for contract execution and for five years after the end of your stay unless a dispute remains unresolved.

According to the French Data Protection Act No. 78-17 of January 6, 1978, you have rights to access, rectify, delete, object, limit processing, and port your data. You may also define directives regarding the retention, deletion, and communication of your personal data after your death.
